The Challenge
A personal injury law firm with 12 attorneys was drowning in intake paperwork. Each new client required 45-60 minutes of paralegal time to process — manually entering data from medical records, police reports, insurance documents, and intake forms into the case management system. With 80+ new cases per month, intake processing alone consumed over 60 paralegal hours weekly.
The Solution
We deployed our AI Process Automation suite to handle document intake end-to-end. The system uses AI document processing to extract data from uploaded documents, intelligent form parsing to capture client information, and automated data entry to populate the case management system — all with human review checkpoints for accuracy.
The Results
- 80% reduction in intake processing time — from 50 minutes to under 10
- 48 paralegal hours/week freed for higher-value case work
- 97.5% data extraction accuracy across all document types
- $12,000/month saved in administrative labor costs
- New case onboarding time reduced from 3 days to same-day
How It Works
When a new client submits documents — whether scanned, photographed, or emailed — the AI system automatically classifies each document type, extracts relevant data fields, and maps them to the correct fields in the case management system. Medical records, police reports, and insurance correspondence are each handled with specialized extraction models trained on legal document formats.
A paralegal reviews the extracted data in a simple approval interface, making corrections where needed. The system learns from these corrections, continuously improving accuracy. Once approved, all data flows into the case management system instantly.
What the Managing Partner Said
“Our paralegals used to spend their entire day on data entry. Now they review what the AI extracted, approve it, and move on to actual case work. We’re handling 30% more cases with the same team.”
